Finding a booking

Bookings searches by reference, agency reference, guest name or agency, and filters by status and embark dates. On a phone the results appear as cards.

The booking page

• Sailing: dates, itinerary, ports and nights, and each cabin with its category and occupancy.
• Total: total, fees, paid, any penalty, and payments due with their dates (deposit and balance).
• Guests: names, nationality, date of birth, and whether a passport is on file.
• Payments: every payment and refund. Record payment and Refund are here for finance and owners.
• Documents: voucher, agency copy without prices, itinerary, payment schedule and cancellation terms, in Arabic or English. See Documents.
• Revisions: every version of the booking, with the reason, the total, who changed it and when.

Editing guests

Edit guests lets you set names, nationality, date of birth and passport for each guest, choose the cabin each one is in, and mark the lead guest. Passport numbers can be typed, but never read back: a guest with one already shows Passport on file, and leaving the field empty keeps it.

Guest details can be changed until the manifest cut-off (7 days before embarkation by default). If a date of birth shows a child is older than the age used for the price, the booking appears on Today as an exception. It is not repriced automatically.

Changing a booking

Change booking (confirmed bookings only):

1. Choose another sailing, or keep the current one.
2. Change cabins, categories, adults or children's ages.
3. Press Price the change. Riverdesk shows the new total, the difference and the amendment fee from the booking's policy.
4. Press Apply change. A new revision is created. The old cabins are released and the new ones taken in the same step.

If someone else changed the booking in the meantime, Riverdesk asks you to reload, so no change is ever lost.

Cancelling

Cancel booking first shows what the cancellation costs: cancelling today (35 days before embarkation) keeps 25% of the total. Enter a reason and confirm. The cabins return to sale at once. If the guest paid more than the penalty and fees, the booking shows refund due: record the refund on the booking.

A direct booking still waiting for its deposit is cancelled without a penalty.
